Council Agenda Item Cover <br />_________________________________________________________________ <br />MEETING DATE: <br /> February 25, 2008 <br />AGENDA ITEM TITLE: <br /> Purchase of Fleet Management Software <br />AGENDA SECTION: <br /> Consent <br />CAN THIS ITEM BE RESCHEDULED? : <br />Yes <br />BACKGROUND REVIEW: <br />The departments of Information Technology (IT), Public <br />Works and Finance worked together to review proposals for a fleet management <br />system to assist Public Works with the tracking, maintenance, depreciation and <br />distribution of cost of 176 fleet units. The City received two proposals as follows: <br /> Maximus Asset Solutions …………………… $97,465.90 <br /> gbaMaster Series…………………………….. $46,435.00 <br />Staff reviewed both vendors’ offerings for suitability and applicability to the City’s fleet <br />operations over a period of two months. Both systems would provide the City with the <br />functionality specified in the request for proposal. The gbaMaster Series program was <br />considerably lower in cost and well represented in other municipal organizations <br />nationwide. The proposal includes software installation, configuration, customization, <br />business process analysis and five days of training for staff of Public Works <br />administration and fleet maintenance, Finance and IT. <br />This system is budgeted in the Fleet Maintenance Fund for $40,000, which is slightly <br />below the lowest bidder. The additional cost will be distributed into the general fund <br />departments the same as all other fleet maintenance expenditures. <br />RECOMMENDATION: <br />Staff recommends the purchase of the gbaMaster Series <br />fleet management system for $46,435. <br /> <br />
