Minutes of the CALOP Commission Meeting
nd
University City City Hall, 2 Floor Conference Room
June 14, 2007, 6:00 P.M.

The meeting convened in the Conference Room, Second Floor of City Hall. In
attendance were Ed Nickels, Eleanor Mullin, Karol Walters, Gladys Creer, Robert
Wilcox, Jim Kirchherr, Genise Lay, Dennis Riggs, and Eric Friedman.

The minutes of the May 10, 2007 meeting were reviewed. A motion to approve the
minutes was made by Mr. Wilcox, seconded by Mr. Kirchherr, and approved.

The Notebook
Ann Davis, grantee for the film The Notebook, was not able to attend the meeting. Mr.
Nickels reported that the scope of the project had changed. The commission will have
Ms. Davis bring in the changes for evaluation.

Treasurer’s Report
Mr. Friedman reported that the Finance Department was making progress in the way
that CALOP’s finances are reported. Mr. Friedman informed the commission that the
financial statement was updated to show summaries, detailed expenditures, and the
status of film projects for the fiscal year. Mr. Friedman would like the reports transmitted
to the commission one week prior to the CALOP meetings. Individual copies of the May
financial report, along with June’s statement, will be provided to the commission at its
next meeting.

Discussion was held about whether CALOP was responsible for making payments to
University City. Some commission members recalled that Frank Ollendorff, former City
Manager, had informed the commission that no money would be paid since
administrative services had not been provided. This arrangement may have occurred in
fiscal year 2006. Further discussion was held on whether there was written
documentation available. Mr. Friedman requested that the Finance Department provide
a record of payments made.

Mr. Nickels reported that the commission was working to compile complete files and
contracts on all grants. Mr. Nickels reports that all contracts were signed with the
exception of James Scott.

Liaison Program
Mr. Nickels stated that commission members should have contacted their assigned
grantee as a part of the liaison program. The liaison should contact the grantee and talk
about any issues or matters relating to the grant/film project. If needed, commission
members are available to assist liaisons with matters relating to their assigned grantee.
