<br /> <br />Council Agenda Item Cover <br /> <br />___________________________________________________________ <br /> <br /> <br />MEETING DATE: <br /> May 21, 2007 <br /> <br />AGENDA ITEM TITLE: <br /> Digital Voice Recorder for the Police Department <br /> <br />AGENDA SECTION: <br /> Consent <br /> <br />CAN THIS ITEM BE RESCHEDULED? : <br />No <br /> <br />BACKGROUND REVIEW: <br />This City’s Digital Voice Recorder that records 911 calls <br />has failed and must be immediately replaced. Staff were aware that the system was <br />declining and repair was unlikely and had requested replacement next fiscal year. The <br />system suddenly failed and temporarily the City was able to acquire a loaned piece of <br />equipment for a short period. Due to the extraordinary importance of this equipment, <br />this item will need replacement now and this item will appear on the next budget <br />transfer. <br /> <br /> <br />Request for Quoteswere issued to six vendors for replacement of the equipment and <br />the following quotes were received: <br /> <br />Company Name Base Bid Options Total <br />Nelson Systems $15,197.32 $ 4,800.00 $19,997.32 <br />BusComm Inc. $19,867.00 $ 7,112.22 $26,979.22 <br />Electronic Office Systems $19,995.61 $10,433.00 $30,428.61 <br /> <br />The Director of Information Technology and Police Department staff have reviewed the <br />proposals and submitted the following findings. Nelson’s System is proprietary and <br />parts cannot be easily replaced, similar to current system. BusComm’s equipment is <br />open sourced and equipment parts can be easily replaced. BusComm’s equipment <br />uses a familiar operating system and Nelson uses a system not currently supported by <br />City technology staff. In addition, BusComm has local support and can provide quick <br />service and support. The City has also had previous satisfactory experience with <br />BusComm. <br /> <br />RECOMMENDATION: It is recommended that award be made to BusComm, Inc. <br />in the amount of $$24,207.00. <br />H-1-a <br /> <br />
